How to Create an Effective Email

Reading Time: 2 minutes

Since we rely heavily on email to communicate with colleagues, clients, vendors, and many others, it’s important that every email we send is well-written and gives the reader clear information. Here are some tips for crafting an effective email.

Man writing an email

Compelling Subject Line

The subject line of an email is the determining factor of whether or not the reader will open the email. Therefore, it’s crucial that the subject line hints at what the email is about. Subject lines are essential if you’re emailing that person for the first time as the recipient doesn’t know who you are, and may delete your email if the subject line is vague. Even when sending emails internally at your company, it’s still important to write a descriptive subject line so your colleague knows what to expect.

Keep it Concise

Some people tend to scan emails to get the essence of the message. With this in mind, it’s better to keep paragraphs brief and to the point. Ask yourself, what are the main points you want the reader to understand? Adding bullet points and bolding/italicizing will help draw the recipient’s attention to important points in the email. Proofreading the email is a must to make sure it makes sense to the reader and that there are no typos.

Check Your Tone

The tone is an essential element of an email. Oftentimes, the reader will assign a tone to an email, even if one was not intended. So it’s important to craft your tone to fit your message and the intended audience. It’s always helpful to start the email with a friendly tone. For example, “It was a pleasure meeting you”; “I hope you had a great weekend.”
